Single Screening Licence Agreement
If you’re in the UK, we are excited to share our film with your community and offer you a screening licence. This one-time licence, the fee is waived for non-profit businesses, Planet Patrol Reps and film sponsors.
What is a Screening Licence?
Your group will need a Single Screening Licence to show BENEATH THE SURFACE in public (but not in a cinema), for example:
- at one-off events
- at film clubs
- in community or entertainment venues
The film is copyrighted material which is owned by Planet Patrol CIC. The licence gives you permission to show the film in public at your event.
Separately, your venue may require other licences or permits to hold events. This may depend on your local authority. Please ask your venue for guidance or reach out directly to your local authority.

Step 1: Contact Us to request a booking
The team at Planet Patrol CIC manages all aspects of the licence for your screening. We are your first point of contact at enquiries@planetpatrol.co
Book your screening event by Registering as a Screening Host and include the proposed date(s) of the showings and location. Once you have secured your date and venue, you must register your event. Planet Patrol CIC will respond within 5 working days.
Please do not advertise your intended screening event until you have received approval for your event directly from Planet Patrol CIC.
Step 2: Agree to this Screening Licence Agreement
Screening Hosts are required to abide by this short Agreement which is to be confirmed by an authorised representative for the organisation/group presenting the screening.
ACCEPTANCE
For private profit-making organisations or those established for commercial purposes must pay the Single Screening Licence in full. Please contact us if you need to check your status in this regard.
For for-profit businesses, by completing payment of the licence fee, the licensee confirms they have read, understood, and agree to be bound by the terms of this Licence Agreement. Payment constitutes acceptance of this Agreement and no physical or electronic signature is required.
Screening licences are free if organised by not-for-profit organisations such as environmental groups, village halls, arts centres, and other charitable bodies.
By registering the event, non-profit organisations where Planet Patrol have waived the fee, licensee confirms they have read, understood, and agree to be bound by the terms of this Licence Agreement. Payment constitutes acceptance of this Agreement and no physical or electronic signature is required.

BENEATH THE SURFACE Single Screening Licence Terms & Conditions
The team at Planet Patrol CIC will do the following for you:
- Email you a formal confirmation of your booking.
- Grant you a one-time Single Screening Licence of BENEATH THE SURFACE.
- Send you a link to download a digital file of the film for your screening (high quality file from Google Drive or Vimeo).
- Send additional digital resources for your screening, such as the Promotional Kit and Discussion Guide.
- List your event on our Screening Events calendar and social media channels. We are not responsible for advertising and promoting your event locally.
- Aim to respond immediately to any queries you have about bookings and be available at reasonable times by email to offer you support with any aspect of your booking.
In return, you agree to:
- Make film bookings as far in advance of your event date as possible, ideally with a minimum of two weeks notice.
- Offer the screening as a community event open to the general public.
- Inform us if you would like to charge tickets and agree to 50/50 share of any sales made from tickets.
- Pay the full amount if you are a for-profit business and aren’t an existing Planet Patrol Rep or film sponsor.
- Have your event information published on our website calendar and social media channels.
- Notify us immediately of any event cancellation or date change.
- Use only the authorised version of the film sent to you to download by Planet Patrol CIC.
- Destroy the downloaded digital file of the film immediately after the screening. This is copyrighted material and cannot be copied or shared with a third party or used for any other purpose other than your agreed screening.
- Comply with the standard conditions applicable to public film shows.
- Contact us if you have an issue or query arising from your booking. Screening licences are handled by Planet Patrol CIC on behalf of the production company. The film is licensed to you by Planet Patrol CIC. Contact us if you have any query about your booking or if anyone asks for proof that you have a screening licence.
- This agreement covers a film copyright licence only for a single screening. It is your responsibility to ensure that your venue is licensed with the local authority for public film showing and has any required premises or entertainment licences for events. This may vary between England, Scotland, Wales or Northern Ireland and by regional area. Please check.
- Within seven days of your event date, email to enquiries@planetpatrol.co with the number of attendees and any other event feedback (please see our post-event survey form, this will be sent to you with your confirmation)
Licensees may not use the Film or the materials provided by Planet Patrol CIC for any purpose other than as set out in this Agreement, and without limitation, shall not:
submit or provide the Film to third parties for broadcast purposes;
make any copies of the Film;
alter, edit or remove the credits from the Film;
generate revenue from the Film, other than revenue from conducting the agreed screening in accordance with this Agreement
CANCELLATION AND REFUND POLICY
One reschedule permitted at no charge, minimum 48 hours notice before original date. Email enquiries@planetpatrol.co with licence number and new preferred date. Reschedule must occur within 2 months. A second reschedule is treated as a cancellation under the applicable policy.
Cancellation/refund policy and timings is as follow:
More than 21 days before screening: Full refund provided.
8 to 21 days before screening: 50% refund. Rescheduling available as an alternative.
7 days or fewer before screening: No refund. Licence may transfer to a future screening within 3 months subject to approval.
Force majeure: Full reschedule at no charge or refund at Planet Patrol’s discretion with documentation.
No-show / unused licence: Not eligible for refund or reschedule.
